Invoicing

Turn your jobs into invoices for your brokers and customers. Download a PDF or email it, then track what's been paid. Only the account owner sees invoices. Driver logins don't.

Set up your invoices once

  1. Tap the Invoices tab, then Invoice settings.
  2. Type your Business name, Business address, Phone and Email. Customers' replies go to that email.
  3. Add a Logo if you have one (PNG or JPG, up to 1 MB).
  4. Pick your Default payment terms: Due on receipt, Net 15, Net 30 or Net 45.
  5. Invoices start at number 1001 and go up by one. Change Next invoice number to carry on from your old invoices.
  6. Use a factoring company? Fill in Remit to and each invoice tells your customer to send payment there.
  7. Tap Save settings.

Make an invoice

  1. Tap Create invoice on a job in Jobs & loads, or + New invoice on the Invoices tab.
  2. Pick the Customer. Your brokers are listed. Choose + New customer for a shipper or anyone else. The billing address and email are saved for next time.
  3. Tick the jobs to bill. Each job adds a line with its date, job type, load number, description, total miles, tons, hours or loads, rate and amount. Fuel surcharge and broker fee get their own lines.
  4. Add extra charges with + Detention, + Lumper, + Fuel surcharge, + Layover or + Other.
  5. Check the Invoice date and Payment terms. The due date is figured for you. Add any Notes.
  6. Tap Save invoice. It starts as a draft.

A job can be on only one invoice. Once it's billed, the job shows Invoiced #1001 (with its number).

Track payments

When money comes in, tap Mark paid and enter the date, amount and how it was paid (ACH, check, factoring or other). Part payments are fine: the rest stays open. When an invoice is paid in full, its jobs can be marked paid too. 10-4 Hauler only records payments. It never takes or sends money.

StatusWhat it means
DraftSaved but not sent yet.
SentEmailed or marked sent, and not due yet.
OverdueSent, not fully paid, and past the due date.
PaidPayments cover the full amount.
VoidCancelled. Its jobs can go on a new invoice.

The top of the Invoices tab shows your unpaid total and how late it is: current, 1 to 30 days, 31 to 60 days, and over 60 days. Filter by status or customer, or search by invoice number. Invoices and payments are also in your Excel export.

Tired of chasing late payments? Turn on overdue invoice reminders in Invoice settings and 10-4 Hauler politely emails your customer 1, 7 and 14 days past due, with the PDF attached.

Fix a mistake

Tap Edit to change an invoice that isn't paid. To cancel one, tap Void. If a payment was entered by mistake, open Mark paid or Payments and tap Remove.

If your account is view-only, you can still see and download your invoices, but you can't make, change, email or mark them paid.
