Privacy Policy

Last updated 22 September 2026. Effective 22 September 2026.

Before this goes live, three blanks need filling: [ENTITY NAME], [MAILING ADDRESS] and [SUPPORT EMAIL]. They appear throughout this page and the Terms. This draft has not been reviewed by a lawyer — have one read it before you take real customers' records.

The short version

You are trusting us with your books. Here is the whole deal in six lines:

The rest of this page is the detail behind those six lines.

Who we are

10-4 Hauler ("10-4 Hauler", "we", "us") is software for small trucking companies and owner-operators — long haul, last mile, dump and aggregate — operated by [ENTITY NAME], based in South Carolina, United States.

Questions about privacy, or about your own records, go to [SUPPORT EMAIL], or by post to [MAILING ADDRESS].

What we collect

Information you give us when you sign in

You can use 10-4 Hauler without an account at all. If you do, nothing reaches us — everything stays in your browser on your device.

When you create an account, we collect:

The business records you enter

This is the bulk of it, and it is the part you would care most about:

WhatExamples
Jobs and loadsDates, brokers, job sites and lanes, freight hauled, ticket numbers, loads, tons, miles, stops, hours, rates, fuel surcharges, broker fees, invoice numbers, what has been paid
ExpensesDates, categories, amounts, vendors, gallons, repeating bills, your notes
Brokers and companiesCompany names, contact names, phone numbers, email addresses, usual fees and payment terms
TrucksUnit numbers, year, make, type, plate, VIN, registration, DOT inspection and insurance dates
DriversNames, phone numbers, how they are paid, CDL expiry, medical card expiry, your notes
SettingsYour company name and your preferences

About driver information. When you enter a driver's name, phone number, CDL or medical card date, you are handing us information about somebody else. That is your call to make and your responsibility — you need the right to give it to us, and your drivers should know their details are in a system you use. We hold it for you and do nothing else with it.

Receipt photos

When you snap a receipt, the photo is shrunk and read inside your own browser, on your own phone or computer. The reading software runs on your device. The picture is then stored on that device and is not uploaded to us. It is not included when your records sync to your account.

The practical consequence: receipt photos live on the phone that took them. If you lose that phone, those pictures are gone even though the expense amounts survive. Download a backup file from Settings now and then — that file does include the photos.

What we do not collect

We do not ask for and do not want: your Social Security or EIN number, your driver's licence number, your bank account or card numbers, your location, your contacts, or anything from your phone outside this app. We have not installed advertising trackers or analytics software that follows you around the web.

How we use it

We use what we hold for these purposes and no others:

We do not read through your books out of curiosity. Staff access to customer records is limited to what is needed to answer a support question you have raised or to fix a fault, and we ask before going into your account where we can.

Anonymous benchmarks, if we ever build them

We may one day want to show you how your costs compare with other haulers — for example, "tri-axles in the Carolinas average this much per hour in fuel." If we do, the figures will be combined across many businesses so that no individual company, truck, broker or driver can be identified, and nothing that names you will appear in anyone else's app. We will say so plainly here before that starts.

What we never do

Who else touches your information

We are a small operation and we use a few outside services to run the app. They handle information only to do a job for us, under their own security obligations, and none of them are allowed to use your records for their own purposes.

ServiceWhat it doesWhat it sees
NetlifyHosts the website and stores your account and recordsYour account details and the business records you enter
GoogleSign in with Google, if you choose it, and web fontsThat you signed in; your name, email and picture come from them to us. Loading fonts means Google sees your IP address.
Cloudflare and jsDelivrDeliver the spreadsheet and receipt-reading code the app runs in your browserYour IP address when the code loads. No records pass through them.
A payment processorWill handle card payments for paid plansYour card details go straight to them — we never see or store a card number. Not yet in use; no payments are being taken.

We will also hand over information if the law genuinely requires it — a valid court order or subpoena — and we will tell you that it happened unless we are legally forbidden to. If the business is ever sold or merged, your records may move to the new owner, who would be bound by this policy until they gave you notice of a change.

Where it is kept, and for how long

Your records are stored on servers in the United States, operated by Netlify. Connections to the site are encrypted, and your sign-in is held in a cookie your browser will not let other websites read.

We keep your records for as long as your account is open. When you close your account, your stored records are deleted from our systems straight away. Copies may sit in routine backups for a short period afterwards before they age out, and we may keep a minimal record of the transaction if you have paid us, because tax rules require it.

Your device also keeps its own copy so the app works without a signal. Deleting your account does not wipe your phone — use "Delete all records" in Settings for that.

What you can do

Depending on where you live, you may have formal rights to access, correct, delete or port your information, and to object to certain uses of it. We extend the rights above to every customer regardless of state, and we will not treat you differently or charge you more for exercising them.

Security

Connections are encrypted. Passwords are stored scrambled with a slow, salted hash, never as text. Sign-in cookies cannot be read by JavaScript or by other sites. Each account's records are separated from every other account's, and the server checks who you are on every single request rather than trusting the app on your screen.

No system is perfect, and we will not pretend otherwise. If your records are ever caught up in a breach, we will tell you and the authorities we are required to tell, without dragging our feet.

Children

10-4 Hauler is a business tool and is not for anyone under 18. We do not knowingly collect information from children. If we learn that we have, we will delete it.

Changes to this policy

If we change this policy we will update the date at the top. If the change is a significant one — particularly anything that widens how your records may be used — we will tell you by email or in the app before it takes effect, and you will have the chance to close your account and take your records with you.
